Senior Executive Assistant

Role Summary:
The role of the Senior Executive Assistant is to ensure the smooth running of the office and work closely with inKind's CEO and C-suite stakeholders to execute tasks. The Executive Assistant will be responsible for working with time-sensitive information and must ensure the highest level of professionalism inside and outside the organization. A high level of confidentiality is required.

Responsibilities:
  • Proactively create & manage complex travel itineraries, accommodations, and meetings (both internal and external) - rearranging and prioritizing commitments as needed
  • Ensures that correspondence properly represents company standard procedures through the use of proper/effective English, grammar, spelling, punctuation, and proofreading
  • Act as gatekeeper to CEO's life; Screens calls, letters, and/or visitors; answers routine questions and directs inquiries to the appropriate department; and acts as the first point of contact to outside inquiries
  • Manages calendars for C-Suite individuals and mitigate potential double bookings and other conflicts
  • Takes minutes and meeting notes, as needed, sending them to the necessary audience or department
  • Assists with preparing presentations and collateral for the CEO, as needed
  • Attends dinners and events with the CEO and upholds the utmost professionalism
  • Runs various errands for the CEO so that he can maximize his time to focus on the business
  • Plan and arrange events, offsite meetings, and social engagements

Requirements:
  • At least 5+ years experience with assisting a fast-paced C-Suite
  • Proficient in Google Suite, and experience with Apple products as this is a Mac-based office environment
  • Strong adaptability and independence; ability to anticipate needs and think two steps ahead
  • Willingness to be on call outside normal working hours, and readily available to creatively find solutions to fluctuating schedules and obstacles that may arise
  • Ability to maintain high levels of privacy, confidentiality, and professionalism
  • Class C Drivers License and clean driving record
  • Exceptional time management skills
  • Highly organized, proactive, and self-sufficient
  • Able to prioritize, multitask, and anticipate
